Short answer: start with the date and the venue, because the rest depends on them. Hotel dinner-and-dance packages are usually priced per table of ten or per head, before service charge and GST. Collect dietary needs with the RSVP, including whether you need a halal-certified kitchen. On the night, the programme decides whether people remember it: keep speeches short, spread the awards and lucky draw across the evening, and finish on time.

Plan it in this order

  1. Purpose and budget. Is it a thank-you, an awards night, an anniversary? That decides how much stage time there is and where the money goes.
  2. Date and venue. Book as early as you can if you want December, January or the weeks around Chinese New Year. That’s the busy season for company dinners in Singapore.
  3. Emcee and entertainment. A good emcee holds the night together. Book them early for the same reason as the venue.
  4. Theme, décor and dress code. Decide these once the venue is fixed, because the room shapes what works.
  5. Invitations and RSVP. Ask for dietary needs and anyone needing access help on the same form.
  6. Seating plan and run sheet. Do these once RSVPs close.
  7. Rehearsal. Test every microphone, slide, video and walk-on before guests arrive.

Ask every venue for its event rules before you commit. Setup and teardown hours, overtime charges, and whether you must use their AV all change the real cost.

Food and drink

  • Halal. If you have Muslim colleagues, “no pork, no lard” is not the same as halal-certified. In Singapore, MUIS is the only body that can issue halal certificates, and you can check a venue or caterer in its directory of certified establishments. Some hotels have a certified kitchen for their ballroom menus; others arrange certified catering. Ask which.
  • Other needs. Vegetarian, vegan, allergies and no-beef diets are common. Collect them with the RSVP and give the venue a table-by-table list, so the right plate reaches the right seat.
  • Drinks. Packages often include soft drinks and a set amount of beer or wine. Ask whether free-flow is per hour or per head, and what happens when it runs out.

Keeping the night moving

  • Short speeches. One welcome speech, and a short toast if needed. Long speeches are where rooms go quiet.
  • Spread the draws and awards. Put them between courses rather than in one long block, and keep the biggest prize for late in the evening so people stay.
  • Let the emcee own the clock. Give them the run sheet and permission to move things along.
  • Rehearse the walk-ons. Winners walking up, handing over trophies and taking photos take longer than anyone plans for.
  • Think about the journey home. If the night ends late, plan transport or tell guests where to get taxis.

Themes

A theme should shape the décor and the dress code, not eat the budget. Pick one that guests can dress for with what they own or can buy cheaply, and that works in the room you’ve booked. If it doesn’t fit the venue, drop it. A well-run evening without a theme beats a strained one with one.

Budget

For a hotel dinner, the per-table or per-head package is usually the largest line, so start there, and remember it’s quoted before 10% service charge and 9% GST. Then add the emcee, entertainment, AV, décor, photography, prizes and the event company’s fee. What’s the difference between a dinner and dance and a gala dinner?

Mostly tone. A dinner and dance is usually a staff celebration with entertainment, games and a lucky draw. A gala dinner is more formal and often has external guests, a stronger stage programme and a stricter dress code. The planning steps are the same.

How long should the evening be?

About three to four hours from registration to last song works for most groups. Longer than that and energy drops.

Do we need an event company for a dinner and dance?
